Vineyard, cellar, register, excise return

Wine.

An estate that makes and sells its own wine: from the plot to the shipped bottle, one register. Spray records, harvest, tanks, bottling, the monthly excise return and invoices all come from the same database, installed at the estate.

Where it hurts

Before, after.

  • TodayOn the 10th of the month I go through my cellar book line by line to fill in the excise return, and add everything up twice.

With PrivateCoreThe monthly return (DRM) is built from the register, product by product and duty status by duty status, in hectolitres. Opening stock must match last month's closing stock and every balance must add up: otherwise generation stops and says why. A month with no movement produces a nil return.

  • TodayMy cellar register is a binder. When I make a mistake I cross it out, and it shows on inspection day.

With PrivateCoreEach movement is recorded once and for all, chained to the previous one and signed. A mistake is corrected by a reversing movement, visible as such, never by rewriting. The integrity of the chain can be checked from the register screen.

  • TodayI never really know how much I have left in the cellar, between what is duty-suspended and what is duty-paid.

With PrivateCoreStock is never typed in: it is recalculated from the movements, per product and per duty status, at any date. An outgoing movement that would make stock negative is refused when it is entered, not discovered at month end.

  • TodayI copy out the spray register at the end of the season from delivery notes and memory.

With PrivateCoreThe treatment is recorded when it is applied, plot by plot: product, authorisation number, dose per hectare, buffer zone, pre-harvest interval, re-entry interval. The year’s register prints per vintage, ready for an inspection.

4 more pains we cure
  • TodayWhen it is time to harvest a plot, I am not sure the last treatment's interval has passed.

With PrivateCorePre-harvest intervals are calculated from the treatments entered. A harvest planned on a plot still under an interval is flagged, with the product and the date the interval ends.

  • TodayA customer asks where the wine in a given lot comes from, and I spend an hour going back through my tank notebooks.

With PrivateCoreThe lot is traced from its bottling: the tank it was drawn from, the blends and rackings upstream, then the grape intakes, down to the plots and their share of the volume.

  • TodayI keep the cuvée allocations in a spreadsheet, and sometimes I promise cases I no longer have.

With PrivateCoreEach customer allocation is set on the cuvée. Available-to-sell is calculated on its own, bottles in stock minus what is allocated and not yet shipped, and an over-allocation shows up straight away.

  • TodayOne case goes to Belgium, another to Switzerland: which VAT rate, and what goes in the register?

With PrivateCoreThe customer's zone is worked out from their country and VAT number. The invoice carries the right rate and the exemption wording when it applies, and the shipment writes its own outgoing movement to the cellar register: sale in France, intra-EU dispatch under duty suspension, or export.

The math

What it replaces, and what it costs.

Typical case: estate making its own wine, two people in the office.

Your stack today€208
PrivateCore · VitiCore€149

Per month, excluding VAT, market subscriptions taken from their public pages.

What the plan covers

  • Cellar register & excise return Kavo orVitisoft · Isavigne · Cap Vignes
  • Plant-protection register Registre-phytosanitaire.com orSerment · Agritrace · Mes Parcelles
  • Accounting & FEC Pennylane orTiime · Indy · Sage

And what the usual stack does not cover: Cellar register and vineyard plots at your place, on the Mac mini

Public prices as of August and September 2026, entry-level plans, options excluded. The vendors' prices change: check their sites.

The gap

What we centralise, and they do not.

  • The number of tools

The usual stackA cellar register and excise return package, an online spray register, a spreadsheet for allocations and invoicing software on the side: as many re-keyings between them.

PrivateCoreOne database. Bottling feeds the register, the shipment writes its outgoing movement, the invoice starts from the shipment, and the excise return is read from the register.

  • Where your cellar register lives

The usual stackWith the vendor, on a server you never see. Your volumes, customers and prices are available as long as the subscription runs.

PrivateCoreOn the machine installed at the estate. The register, the plot records and the customer file stay with you, and the full export is yours.

  • Proof in the register

The usual stackLines that can be edited afterwards, or a change log nobody reads.

PrivateCoreChained, signed movements, never rewritten. A correction is a dated reversing movement, and the chain is checked in one click.

2 more differences
  • Excise duty

The usual stackWorked out by hand in a table, with this year's rate copied somewhere.

PrivateCoreCalculated on sales in France released from duty suspension, at the rate in force on the date of the movement. Movements under duty suspension carry no duty.

  • Filing with customs

The usual stackSome packages file for you through a gateway; others leave you to copy the figures into the portal.

PrivateCoreAn XML file in the format published by French customs, checked against its schema every time it is generated, which you file yourself on the portal. Nothing is sent on your behalf.

FAQ

What we get asked.

What software does VitiCore replace?

It depends on how the estate is equipped: a cellar register and excise return package (Kavo, Vitisoft, Isavigne), an online spray register, the allocations spreadsheet and the invoicing software. The comparison on this page prices the case of an estate with two people in the office.

Is the excise return sent to customs automatically?

No. VitiCore produces the XML file in the format published by French customs and checks it against its schema every time; you file it yourself on the portal. The file has not yet been tried on the live customs service: keep your current method for the first month to compare.

Can a register movement be changed afterwards?

No, and that is deliberate. Each movement is chained to the previous one and signed. A mistake is corrected by a dated, visible reversing movement, and the chain check flags any tampering.

Is excise duty calculated?

Yes, on sales in France released from duty suspension, at the rate in force on the date of the movement. Movements under duty suspension, such as an intra-EU dispatch or a bulk sale to a merchant, carry no duty.

What about harvest and stock declarations?

They are prepared in VitiCore, reconciled with the cellar register, then locked once validated. The XML export is for your records: the figures still have to be entered on the customs portal.

Does my cellar data stay with me?

Yes. Register, plot records, tanks, customers and invoices live on the machine installed at the estate. No vendor looks at your volumes or prices, and the full export belongs to you.
