Where it hurts

Before, after.

  • TodayMy patient list lives on a platform, and the day I leave I start again from nothing.

With PrivateCoreBooking happens on your own page, and patient records live in a database sitting at the practice. You leave with it, because it was never anywhere else.

  • TodayA cancellation in the morning, and the slot stays empty because I have no time to ring round.

With PrivateCoreThe day-before reminder goes out on its own by SMS and email, which cuts the no-shows. When a cancellation lands, the first person on the waiting list whose availability covers the slot moves to the top: you call the right patient without reading back through the book.

  • TodayI work out the coding in my head, and I miss a night or Sunday uplift one visit in three.

With PrivateCoreCodes and amount are computed from the type of act, with the night, Sunday and public-holiday uplifts, the travel allowances and the combination rules. Moving holidays are calculated, not typed in. You approve before the line reaches the fee note.

  • TodayIf the practice computer is stolen, every one of my patients' records walks out with it.

With PrivateCoreSensitive fields are encrypted column by column in the database, each column with its own key. Without the key the stolen file is unreadable, including for someone opening it with a database tool.

4 more pains we cure
  • TodayIf a patient asks me who has opened their record, I have nothing to show them.

With PrivateCoreEvery time a record is read it is logged, not only when it is changed. Entries are chained by digital fingerprint: removing or rewriting a line breaks the chain and shows. The register is kept ten years, and it is in your own database.

  • TodayAssisted note-taking means shipping my consultation notes to an AI vendor.

With PrivateCoreThe model runs on the practice machine. It proposes coding, which is then checked against the official tables: an invented code is rejected before you ever see it. A paper prescription can be photographed and read locally, and the image is not kept.

  • TodayI write my fee notes by hand, and I am never sure about the VAT wording.

With PrivateCoreThe note comes out with the health-profession exemption wording and your practice details already in place. The monthly recap prints as a PDF whenever you need it, without going back over the lines one by one.

  • TodayTwo practitioners, two calendars, and a patient we cannot find because the record was created on the other side.

With PrivateCoreOne calendar for every practitioner in the practice, whatever their speciality, and a patient search that runs across the records instead of stopping at the one the signed-in practitioner created.

The math

What it replaces, and what it costs.

Public prices as of August and September 2026, entry-level plans, options excluded. The vendors' prices change: check their sites.

The gap

What we centralise, and they do not.

  • Where the records live

The usual stackOn the vendor's infrastructure. You sign a contract, you read a compliance page, but the database and the backups sit with someone else.

PrivateCoreOn a machine sitting in your own practice. The argument does not rest on a label: it rests on where the files physically are, and on the medical content being encrypted field by field.

  • How many subscriptions

The usual stackAn online calendar, a patient-record package, a billing tool, sometimes a portal for the accountant. That many contracts, and that much re-keying between them.

PrivateCoreOne tool. The appointment, the record, the fee note and the accounting export feed each other, with no bridge to buy.

  • What visibility costs

The usual stackA fee per practitioner, sometimes a commission on appointments booked through the directory. The bigger the practice grows, the higher the line.

PrivateCoreA practice subscription, with no share taken on appointments. You stay free to keep a directory alongside it for the traffic it brings.

3 more differences
  • Access traceability

The usual stackThe log exists, but it belongs to the vendor. Producing it for a patient or for an inspection means asking, and waiting.

PrivateCoreThe register is in your database, it records reads as well as writes, and it is chained so a removed line is detectable. You open it yourself, on the day you are asked.

  • Artificial intelligence

The usual stackHelp with wording and coding goes through a remote service: the content of the record leaves the practice to be processed.

PrivateCoreThe model is installed on your machine. Coding suggestions, reading a photographed prescription: nothing used to produce them leaves the practice.

  • What a calendar does not cover

The usual stackThe receptionist's payroll, the team rota, the accounts and the export for the chartered accountant fall outside the scope: other software.

PrivateCoreThey are in the same tool, fed by the same appointments and the same payments. What you bill in the morning is not re-keyed in the evening.

FAQ

What we get asked.

Is it certified as a health-data host?

PrivateCore does not need that certification, because we are not the host: you are, on your own machine, in your own premises. Health-data hosting certification applies to cloud providers. As the practitioner you remain the data controller, under GDPR.

What happens if the machine breaks down or is stolen?

Data is encrypted at rest, and the medical fields are encrypted column by column on top of that: a stolen machine is an unreadable block without the keys. Automatic encrypted backups let you restart on a new machine, and the restore procedure is rehearsed with you at go-live, not on the day of the failure.

Does PrivateCore fully replace a booking platform?

For the calendar, online booking, reminders and the waiting list: yes, on your own site and with no commission. What it does not replace is the directory and the traffic it brings. Many practices keep the platform alongside for a while, then switch it off once enough appointments come in directly.

How does migration work?

Import through the official CSV export (appointments, patient record, history). Running in parallel is the sensible route: your direct site takes a growing share of the bookings while the platform stays on as long as you want. There is no automatic two-way sync between the two, so you switch off when you are comfortable.

What about the health insurance card and electronic claims?

Not yet. PrivateCore does not transmit electronic claims today: the page is aimed first at practitioners billing fee notes directly, outside the reimbursement circuit. Health-insurance claim transmission is on our roadmap. If your day-to-day work depends on it, tell us before you commit.

For a practice with several practitioners, is it priced per practitioner?

No. The subscription is per practice, not per practitioner, so adding a colleague does not multiply the bill.

What about traceability of care and record access?

Every act and every access to a record is timestamped and written to a register dedicated to health data (GDPR article 9), which logs reads as well as writes. Entries are chained by digital fingerprint, so tampering shows.
